INTERMEDIATE PROJECT ADMINISTRATOR - SHERWOOD PARK, AB

What You Offer

You are a motivated self-starter and team contributor with at least five years progressive Project Administration experience, preferably within an Engineering / EPC environment.  Reporting to the Administrative Coordinator, you will:

  • Prepare and issue engineering documents including, letters, reports and contractual documentation to external clients.
  • Schedule project meetings, prepare agendas, record and distribute meeting minutes.
  • Create and maintain active project files in hard copy and electronic format.
  • Coordinate with internal and external client contacts regarding documentation issues.
  • Make travel arrangements for project manager and project team members.
  • Confirm site orientation of team members is completed and schedule where necessary.
  • Ensure adherence to administrative procedures, processes and standards.
  • Perform quality checks on packages and documents.
  • Assist in project close-out activities.
  • Other related tasks as requested or required.

Competencies / Experience Requirements        

  • 5+ years’ progressive project administration experience preferably within an Engineering / EPC environment.
  • Working knowledge of engineering development workflows and practices.
  • In depth knowledge and experience with Microsoft Office software (Word, Excel, PowerPoint, Visio) is essential; SharePoint experience an asset.
  • Work equally well independently, with minimal supervision, or within a team environment.
  • Strong interpersonal and communication skills and aptitude to interact with all levels of the organization.
  • Ability to adhere to tight deadlines and manage shifting priorities.

PART TIME ACCOUNTING CLERK - SHERWOOD PARK, AB

What You Offer

 You are a motivated self-starter and team contributor with at least one to three [1-3] years’ progressive Accounting experience; experience within an Engineering / EPC environment an asset.  Reporting to the Accounting Manager, you will:

 

  • Verify accuracy of vendor invoices and resolve invoice discrepancies.
  • Ensure appropriate backup is received for vendor invoices and necessary   approvals are obtained.
  • Sort, code, enter and process invoices in a timely manner on a weekly basis.
  • Check expense claims for accuracy and completeness; code, enter and process for payment.
  • Reconcile credit card statements.
  • Investigate and resolve vendor queries.
  • Maintain accounts payable files.
  • Prepare customer invoices with appropriate backup and submit for payment.
  • Accurately code and enter customer invoices.
  • Apply customer payments.
  • Prepare bank deposits, make deposits and pay bills.
  • Reconcile general ledger accounts and prepare reports.
  • Monitor customer accounts for non-payment and delayed payment.
  • Follow up and collection of overdue customer accounts.
  • Maintain accounts receivable files.
  • Process bi-weekly payroll.
  • Set up and maintain employee records in Cost Track and Time Track system.
  • Provide training on Time Track usage.
  • Assist Accounting Manager or complete other duties as requested.

Competencies / Experience Requirements:

  • One to three [1-3] years’ progressive experience with Accounting and Payroll processes; an equivalent combination of education and experience will be considered.
  • Demonstrated knowledge of payroll, accounts payable/receivable; QuickBooks experience an asset.
  • Computer literacy, including effective working skills of Microsoft Applications (Word, Excel, Outlook)
  • Clear written and verbal communications; effective communication skills with individuals at all levels of the organization with a focus on delivering information tactfully and professionally.
  • Good time management skills, excellent attention to detail and strong data entry skills.
  • Able to maintain confidential information.
  • Strong work ethic and positive team attitude; works equally independently, with minimal supervision, or within a team environment.
  • Ability to adhere to tight deadlines and manage shifting priorities.
